OUR ESSENTIALS PACKAGE

You have booked your venue and vendors and made the big decisions. Now you want a professional team to run the day so you, your family and your wedding party can be fully present. Essentials is our wedding-day coordination package, for couples planning their own Indianapolis wedding. When our team talks about coordination, Essentials is the package we mean.

 

Who It Is For

 

  • Couples who have planned their wedding and booked their vendors

  • Couples whose venue coordinator manages the space but not the full day

  • Families who want to enjoy the celebration instead of watching the clock

 

When We Step In

 

  • Within 30 days of booking: your initial wedding-day timeline and shared Google Drive planning folder

  • About 40 days out: we reach out to schedule your final details meeting

  • Two weeks before that meeting: your condensed planning questionnaire is due

  • About 30 days out: your final details meeting, up to 1 hour, in person or by video

  • Two weeks out: we confirm arrival and departure details with each of your vendors

  • The Monday before your wedding: final details go to your vendors

 

What Essentials Includes

 

  • A lead coordinator and an assistant on your wedding day

  • Up to 10 consecutive hours of coverage for one selected portion of your day: ceremony through open dancing, or reception setup through end of night

  • Ceremony rehearsal coordination when your coverage includes the ceremony

  • One condensed playbook timeline for you and your vendors

  • Setup of your personal items: guest book, card box, seating chart, bar signage, place cards and welcome sign

  • Vendor arrival and departure confirmations

  • Emergency kit on site

  • Gratuity and final payment distribution

  • Hotel room block booking

  • Up to 200 guests (an additional fee applies over 200)

 

Essentials Starts at $2,250

 

Additional hours, team members and services can be added to any package. Travel fees apply outside the Indianapolis area.

 

Where We Coordinate

 

We are based in Indianapolis and coordinate weddings throughout the Indianapolis area. Essentials is also available for destination weddings, with travel fees.

 

How We Differ From Your Venue Coordinator

 

A venue coordinator works for the venue. They manage the space, the venue staff and the venue policies. Our team works for you. We follow your timeline across every vendor, coordinate your ceremony rehearsal and processional, set up your personal details, keep your wedding party on schedule and distribute final payments and gratuities, so you can enjoy your day.
